Draft, not yet reviewed. This page has not been checked by a lawyer yet and may change before LawnFlow launches.

LawnFlow is run by [LEGAL NAME] (ABN [ABN]). This page explains, in plain English, what LawnFlow keeps about you and your customers, where it’s kept, and what you can ask for.

What LawnFlow stores

About you and your business. Your email address and password (the password is stored scrambled, never as you typed it), your business name, your name, your ABN, your business phone number, your time zone, the name on your quote link, your home address if you add one for routing, and any workers you add (their names, pay rates, hours and home addresses).

About your customers. Whatever you enter or import: names, addresses and their map position, phone numbers, email addresses, notes, prices, how often you visit, how they pay, and agency or NDIS billing details.

Your jobs and money. The jobs you finish, what each was charged, how it was paid (cash, tab, credit or invoice), and whether an invoice was sent.

Quote requests. When someone fills in your quote link, LawnFlow keeps their name, mobile, the address, what they need done, and up to four photos. The photos are shrunk on their phone before they’re sent, which usually removes the location data a phone camera hides inside a photo. A very large photo may be sent as it is.

Xero connection. If you connect Xero, LawnFlow keeps the connection details that let it reach your Xero organisation. They are held on our server and are never sent to your phone or browser.

Error reports. When something goes wrong in the app, it records the error, the screen it happened on, and your browser type, so we can fix it.

On your phone. LawnFlow keeps a copy of your data on your device so it opens quickly and keeps working when signal drops. Changes made without signal wait on the phone until they can be sent. Signing out clears the saved copy, but anything not yet sent is kept on the phone until it can be sent, so no work is lost.

LawnFlow has no advertising, no analytics and no tracking. We don’t sell or share your information for marketing.

Your customers’ details are yours

You enter your customers’ details to run your business, and they stay yours. LawnFlow keeps them so the app can work for you, and uses them for nothing else. You’re responsible for having your customers’ OK to keep their details, the same as you would in a notebook or spreadsheet.

Where it’s kept

  • Supabase. The database and sign-in service that holds everything above. Region: Singapore.
  • Cloudflare. Runs the app and this website, the service that connects to Xero and receives quote requests, and stores quote photos and the nightly backups.
  • GitHub. Runs the automatic nightly backup job, which copies the database to Cloudflare.
  • Google Maps. Addresses you type are sent to Google to suggest the right address and place it on the map, and job locations are sent to Google to work out routes and drive times.
  • Xero. Only if you connect it. Customer names, contact details and invoice details are sent to your own Xero organisation to make contacts and draft invoices.
  • Your phone. Texts to customers are sent from your own Messages app. LawnFlow doesn’t send texts or emails to your customers itself.

Backups and how long things are kept

Your data is kept while your account is open. A full backup is taken every night and each backup is kept for about a month, then deleted. Quote photos are deleted about a year after they arrive.

Asking for your data, or deleting it

You can delete a customer at any time from their page in the app. There is no button in the app yet to delete your whole account. To get a copy of your data, or to have your account and everything in it deleted, contact Jack:

Once your account is deleted, copies of it in the nightly backups are gone within about five weeks.
